About this Role:

Overwatch Imaging is seeking a Sales Operations Coordinator to be the operational backbone of our growing revenue engine. This role exists to clean up our data, hold the team accountable to the sales process and tools in place, and own the organizational and administrative load of delivering a well-oiled machine focused on customer engagement and closing deals, in partnership with the Sales and Growth Manager. The ideal candidate is meticulously detail-oriented, energized by clean records and well-run process, and takes pride in being the dependable operator behind the scenes. Success in this role looks like a CRM you can trust, a pipeline review that runs on schedule with no last-minute scrubbing, deal artifacts filed where they belong, and a scalable growth engine that paves the way to the future.

 

What You'll Do:

  • Own the day-to-day cleanliness, accuracy, and completeness of the CRM (accounts, contacts, opportunities, activities, attachments, and stage history) so every report run from the system can be trusted without rework
  • Audit pipeline records on a recurring cadence to identify and resolve missing fields, duplicate accounts, stale opportunities, miscategorized stages, and inconsistent naming conventions
  • Hold the team accountable to the existing sales process (required fields, stage gates, capture artifacts, follow-up commitments) and chase open items to closure with the Sales and Growth Manager and BD Directors
  • Operate inside Overwatch's existing tools, templates, and process; continuously look for small, targeted optimizations that help the team win deals faster within the current methodology
  • Own the RevOps meeting cadence focused on cross-team alignment, including pipeline reviews, gate reviews, forecast calls
  • Produce clean weekly, monthly, and quarterly pipeline, activity, and forecast reports for the company leadership directly from CRM data
  • Maintain the team calendar of customer meetings, conferences, capture milestones, proposal due dates, and contract action dates. And proactively surface conflicts and upcoming deadlines
  • Manage the document repository for sales (capture plans, proposals, white papers, NDAs, teaming agreements, presentations, customer correspondence), keeping records version-controlled, properly named, and easy to find
  • Support proposal, quote, and contract preparation by coordinating inputs from BD, Finance, Contracts, and technical staff and tracking deliverables through to submission and execution
  • Track and report on key pipeline metrics and flag trends, risks, or process breakdowns
  • Coordinate with Marketing on campaign list pulls, event registrations, lead handoffs, and post-event lead-to-opportunity reconciliation so every captured lead is accounted for in the CRM

 

What You'll Bring:

 

Experience and Education:

  • Bachelor's degree in business, operations, communications, or a related field; or equivalent practical experience
  • 1-3 years of experience in sales operations, sales coordination, sales administration, revenue operations, or a senior administrative role supporting a sales or business development leader
  • Exposure to B2B or government sales environments is a plus; aerospace, defense, or technology industry experience is a bonus but not required

Technical Competence:

  • Hands-on proficiency with at least one major CRM, including list views, dashboards, basic reports, data imports, and field standardization. Our CRM is Hubspot.
  • Strong working command of Microsoft 365 (Excel, Word, PowerPoint, Outlook, Teams) and shared file systems such as SharePoint or OneDrive.
  • Comfort building and maintaining clean, dependable reports
  • Familiarity with proposal and document workflows: track changes, comment management, redline reconciliation, PDF assembly, and compliance matrices
  • Basic understanding of government or commercial contracting is a plus, but not required
